| In the position of Personal Assistant (Executive Assistant) you are responsible for all administrative and secretarial activities in order to support the General Management. A challenging and responsible position with a variety of tasks from maintaining corporate relationships to the planning of business trips and international events. |

Our client expects the Executive Assistant (Executive Assistant) to provide highly skilled administrative, front office, guest services and event management support to the General Management by means of:
- Administrative: Organizing the office operations and procedures to increase efficiency; Agenda management; Check deadlines on incoming requests to ensure office work continues to flow smoothly.
Handling email traffic; Composing and handling of correspondence in order of the management; Providing typing services to the Manager and Subordinates; Maintains appointment calendar, resolves schedule conflicts, and schedules meetings as directed. Maintains organized filing system for the executive's correspondence, files and other records; Verifies invoices and process accounts for Corporate Management and others, as required; Handle strictly confidential information in the most ethical/confidential manner
- Event Management: Research on restaurants & hotels and negotiate rates with hotels; Organizing and planning of events; Coordinates planning and logistics for business trips, conferences and large meetings, ensuring that all arrangements are complete and of acceptable standards. Coordinate and finalize accommodation and transportation arrangements for AOC MD, Corporate Management and Executive Management and others, as required. Prepares or checks the preparation of meeting sites in advance of meetings, resolves last minute problems, tests required audio-visual equipment, inventories required materials and supplies; Follows up on operational details throughout and after the meeting, resolving problems to assure a smooth running, professional, high quality meeting for the attendees. Maintains accurate records and accounting of meeting expenses.
- Guest Relations: Establishing and maintaining work relations with a wide spectrum of employees, officials and general public; Receives guests and phone calls, tactfully determines the nature of the call, and refers to appropriate individual or handles the business personally.

Our client expects a candidate who:
- has a high school diploma (HAVO or equivalent).
- has 5 years of relevant experience in the support of executive management with two years at a more senior or corporate level support, is required.
- has excellent communication skills in English. Polished telephone etiquette.
- is a team player with excellent planning and organizational skills, efficient work ability, flexible attitude, and attention to detail.
- has the ability to juggle multiple tasks simultaneously and ability to exercise initiative and judgment, in the performance of complex, confidential and difficult duties.
- must possess strong work ethic and be able to adhere to company work hours, policies and standard business etiquette.
- has familiarity with and sensitivity to the history, culture and religion of the Middle East preferred.
- is able to work on strict and short deadlines; able to set priorities and deal effectively with shifting priorities
- has fast and accurate typing ability. Proficient in MS Word, Excel, Access and PowerPoint in the Windows environment
